The Waterboro Public Library in East Waterboro, Maine, is currently accepting applications for a part-time Assistant Director.
Under the supervision of the Library Director, the Assistant Director will perform professional and technical work in operating and maintaining the public library.
Essential Functions:
- Prepares reports necessary for the Director to complete required documents for the state, town, and Board of Trustees.
- Assists with administering all aspects of library operation, including personnel selection and supervision; budgeting and expenditures; book and materials selection; collection development and maintenance; building and grounds maintenance; programming and community relations.
Duties and Responsibilities:
- Acts as the Library Director in their absence.
- Works primarily at the Adult circulation desk, greeting and assisting patrons, and handling all aspects of the library operation.
- Manage Interlibrary Loan requests.
- Maintain patron and collection records.
- Monitor public use of library space and assist patrons in locating materials and equipment.
- Responsible for shelving and shelf reading all materials.
- Responsible for the processing and maintenance of library materials.
- Issue library cards according to established policies and procedures.
- Help to answer reference, materials, and informational questions.
- Provide readers' advisory.
- Prepare displays and flyers for use in the library and on social media.
- Writes, develops, and reviews procedures.
- Performs other library tasks as assigned.
Qualifications:
- A Bachelor's Degree in Library Science, Education, Public Administration, or a related field is preferred, but not required. An equivalent combination of experience and training that provides the required knowledge, skills, and abilities will be considered.
- Experience in library management or a leadership role in an educational or community-focused setting.
- Knowledge of library technology, cataloging systems, digital resources, and computer proficiency
- Ability to work independently, manage multiple priorities, and engage with diverse community members.
- Ability to communicate effectively and courteously; ability and desire to serve the public of all ages; and ability to work as a team member.

Duties require:
- Extended periods of walking, standing, talking or hearing, keyboarding, lifting/carrying items, and reaching with hands and arms.
- Occasional periods of sitting, climbing or balancing, pulling/pushing items, and stooping, kneeling, or crouching. Moving weights up to 25 pounds is frequently encountered, with some exposure to weights of 50 pounds.
- Pulling and pushing book trucks, with casters, weighing up to 200 pounds.
Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The noise level ranges from quiet to moderate. JOB DESCRIPTION
The Gallison Memorial Library Association Board is seeking a creative, outgoing individual for the part time position of Library Director. The candidate should have good computer skills as well as strong communication skills. This individual should also have a positive leadership philosophy that is both cooperative and inclusive. The Director is responsible for the functioning of the library, including specific responsibilities such as budgeting, programming, scheduling volunteers, recommending policy adjustments to the Board, and working cooperatively within the community to further the library's programs and services to meet community needs.
Management: Manage and supervise library operations.
Supervisory: Exercise administrative direction over volunteers, contract, and seasonal personnel, providing effective direction to assure the quality of public service.
Fiscal: Prepare the annual budget for Board review and approval. Make suggestions for maintenance, and improvement of the library's facility and equipment. Coordinate library development and fund raising.
Collection Development: Update and manage library holdings. Strive to maintain a vibrant and current collection of both print and non-print material. Manage library's online presence with the Maine Balsam Libraries consortium. In order to provide full-service lending, ensure that interlibrary loan services are available and offered to all library patrons.
Program Development: Plan and implement library programs with the goal of engaging all ages and demographics within the community. Collaborate with local agencies, schools, and town officials to foster community engagement and enrichment.
Communications and Data: Collect data and prepare a variety of reports including the Annual Report to the Maine State Library. Provide advice on library matters to the Board.
Training: Participate in training opportunities offered by the Maine State Library.

Preference given to an individual who has availability and flexibility in their schedule to be able to work at least the minimum hours needed per week and to be a substitute for other librarians occasionally as well (therefore, one might have the opportunity to work extra hours for some weeks).

Portland Public Library (PPL) is currently seeking a Senior Cataloging & Acquisitions Associate in the Technical Services Department. The Technical Services Section of Access Services coordinates the ordering and receiving of books, periodicals, electronic resources, and AV materials; provides MARC records and Dewey Decimal classification numbers for these materials; and processes them following recognized cataloging standards. Included in this position's scope is maintenance and control of the librarys databases as well as any retrospective conversion activities for existing materials.
Reporting to the Technical Services Manager, this position plays a key role in supporting access to library collections across all formats and locations. The position is responsible for acquisitions, complex and specialized copy cataloging, and batch loading within the Polaris ILS. This position uses technology to ensure timely procurement and accurate metadata. The position contributes to the technical services aspects of the librarys participation in the Dirigo Libraries consortium using a shared Polaris ILS and Vega Discover catalog. This position provides considerable latitude for initiative and independent judgment. It requires a high degree of responsibility for accuracy plus a comprehensive knowledge of, and ability to synthesize, a variety of library standards and conventions.
This is a union-represented, full-time, 37.5 hours per week onsite position, normally scheduled to work Monday-Friday, after training.
Nature & Scope
This position:
- Participates in all aspects of the acquisitions process. This includes electronic ordering and invoicing, communicating with vendors and selectors, handling order carts, and tracking purchases. It includes the management of fund accounts and distribution of monthly fund reports. It also includes the preparation, posting, and reconciling of invoices for payment by the finance department. This position assists with researching vendor pricing, managing outsourced processing specifications, and resolving errors.
- Responsible for setup and management of electronic workflows with vendors, including automated processes and connections between vendors and ILS.
- Manages and maintains standing orders and backorders with vendors.
- Participates in the receiving and processing of a variety of materials to shelf readiness.
- Performs copy cataloging for a variety of formats. Understands cataloging concepts and conventions, MARC, RDA, AACR2, and Dewey Decimal classification.
- Performs complex and specialized copy cataloging, including series, multipart monographs, and electronic resources.
- Performs a variety of regularly recurring batch processing and catalog maintenance tasks using tools such as OCLC Connexion, MARCEdit, and Polaris bulk edit function.
- Participates in management of PPLs collections that are part of the Maine Shared Collections Collaborative (MSCC).
- Assists with special projects to enhance access to materials in collaboration with section supervisor and other section staff as necessary. Documents and maintains work procedures. Evaluates processes and makes suggestions for improving workflow and procedures. Trains staff and/or volunteers in areas of expertise.
- Ensures a high quality of bibliographic- and item-record accuracy. Assists with material flow through department as needed.
- Deals with materials in new and changing formats.
- Organizes competing priorities to help the section maintain an even workflow.
In addition, this position:
- Requires a high degree of self-discipline, attention to detail, and the ability and desire to handle the workload.
- Requires ability to learn new procedures, use new software programs, and adjust to new technology and material format needs.
Basic Qualifications:
At the entry level, this position requires a bachelor's degree with some library science experience or any equivalent combination of experience and training that provides the following:
- Strong technical aptitude, desire to learn and troubleshoot relevant technologies
- Minimum 2-3 years of working experience cataloging or comparable work with complex databases
- Knowledge of basic accounting and financial reporting
- Intermediate to advanced Excel skills, including pivot tables, VLOOKUP, and formulas

Portland Public Library (PPL) is currently seeking a Senior Library Assistant for the Burbank Branch, which extends the delivery of public library services to Portland's neighborhoods. Reporting to the Burbank Branch Manager, this position is responsible for processing a variety of circulation transactions using the Polaris ILS, responding to patron reader's advisory and reference inquiries, answering a variety of public computing questions, and assisting with programming activities.
The Branch Senior Library Assistant works with a wide variety of the public and facilitates a variety of patron account matters. They must be able to interact effectively and manage sometimes difficult situations. This work is performed in a fast-paced environment and requires an exceptional level of customer service.
This is a union-represented, part-time, 20 hours per week onsite position, normally scheduled to work Tuesdays, Fridays, & Saturdays, after training.
Nature & Scope
This position:
- Issues new borrowers' cards and orients patrons to library policies and services.
- Updates the patron database by accurately entering patron information and attends to all patron account matters with great accuracy, care, neutrality, and attention to detail, always safeguarding the privacy of patrons borrowing histories and other sensitive information.
- Receives, interprets, and answers inquiries from library patrons made in person, by telephone, and email, from a diverse cross-section of the public, both adults and children.
- Checks materials out and in at the Branch lending desk; collects payments for lost materials; makes note of the condition of materials leaving the library, and checks returned print and audiovisual material for damage or missing parts; creates on-the-fly records in the database for non-catalogued materials as they are circulated; processes special requests such as renewing materials, placing reserves, and answering patrons queries about locations of books, standing on hold queues, and status of accounts/materials.
- Identifies and refers materials needing repair to the proper department, processes deliveries from other library locations, and sorts returned items by location to be staged and reshelved. The incumbent performs shelving duties daily.
- Performs certain other tasks associated with the branch such as requesting the assistance of other staff or City first responders when needed.
- Actively engages the public as the initial point of information in the library, demonstrating use of library catalogs, the PPL website, cloudLibrary, and related technology and systems.
- Assists patrons in the use of public computers and printers. This includes answering questions related to various computer programs, issuing guest passes, and assisting with the print, scan, and email functions of the printer.
- The Branch Senior Library Assistant collects and records miscellaneous statistical data as requested for the management of the branch, and other duties as assigned.
- Exercises independent judgment with every library patron and selects appropriate sources to assist the patron in answering the inquiry. Has a broad knowledge of children's, teen, and adult services, the library circulation system, databases, and internet resources, and the ability to connect patrons to the materials they desire (books, magazines, movies, video games, and more).
- May organize, prepare, and produce a wide variety of programming for infants, children, teens, and adults and may create and run their own programs based on special interests, as approved by Branch Manager; may also assist with classroom visits, school visits to the branch, and development and maintenance of displays.
- May oversee the opening/closing and daily operation of the branch, and may be Branch Person in Charge, depending on seniority, in the absence of the Branch Manager and the Assistant Branch Manager.
- Assist the Branch Manager or Assistant Branch Manager with projects related to collections management, including assessing materials for condition and circulation statistics.
- Manages a complex variety of services and processes, in collaboration with the entire branch team. Each team member must be responsible to and rely upon the entire team to ensure that service to patrons is efficient and effective, and the environment is collegial. This includes solid communication in patron records, logs, and in person.
- Participates in maintaining a safe and welcoming environment for fellow staff and library users. This position must use careful judgment to discern patron needs and resolve matters in the most mutually successful way.
Basic Qualifications:
At the entry level, this position requires a baccalaureate degree from an accredited college or university or any equivalent combination of experience, training, and education, which provide the following:
- Knowledge of reader interests, books, authors, and interest in promoting reading.
- Ability to accept direction from Branch Manager as requested.
- Ability to work independently, and to organize and follow through on multiple assignments.
- Ability to collaborate and work well with other members of library staff and administration.
- Strong service orientation and demeanor appropriate to provide a high level of service to a diverse public; Excellent customer service skills.
- Ability to remain calm and pleasant under pressure while maintaining attention to detail in a fast-paced, multi-tasking environment.
- Ability to communicate clearly and effectively in oral and written format.
- Knowledge of and proficiency with popular operating systems and their software, particularly Microsoft Office, web browsers and search engines, and email programs.

Customer service is a major aspect of the position. Strong computer skills are required. Additional duties will include handling overdues and interlibrary loan requests, and processing new library materials. Job Duties:
- Handle coverage of the circulation desk: Check materials in/out, register new patrons, help patrons locate materials and information, find answers to reference questions, provide reader's advisory, shelve books, help patrons with photocopier and computers.
- Handle interlibrary loan requests: place the requests with lending libraries, process and de-process the borrowed books, package and return borrowed books, keep records of the transactions.
- Keep track of overdues, including contacting and billing patrons, maintaining records, and adjusting patron and catalog records accordingly. Alert the director to special problems.
- Help supervise volunteers.
- Occasionally serve as senior staff in charge of building (when working with a volunteer).
- Shelve library materials and shelf-read.
- Help with acquisitions including processing new materials. Help with withdrawing weeded materials.
- Process, rotate and withdraw periodical materials
- Help with maintaining forms on hand, making up new ones when necessary.
- Assist in seeing that library rules of conduct are observed by asking library users to observe rules of conduct that are not being followed, and by informing the director when necessary.
- Attend staff meetings. Attends workshops, meetings and conferences as appropriate.
- Help staff with children's programs (or run them, if interested).
- Perform other library duties as needed.
- This position reports to the Library Director.
Qualifications:
- A degree in Library Science is desired or any equivalent combination of experience and training which provides the required knowledge, skills and abilities preferred.

Job Description (overview):
The Assistant Director/Collection Manager performs professional administrative work-requiring judgment, leadership, and initiative alongside the Library Director. In this dual-capacity role, you will:
- Provide Leadership & Supervision: assist with staff evaluations, daily scheduling, and supervision. In the Directors absence, oversee library operations, staff, and community-facing services.
- Manage Collections & Technical Services: Oversee adult materials acquisition, cataloging, processing, and de-selection. Evaluate and select new materials, coordinate bibliographic searches, and maintain electronic catalog records at both local and state levels.

Minimum Requirements (training, skills, education, experience):
- Master of Library & Information Science (MLIS) from an ALA-accredited program is strongly preferred.

ACCOUNTABILITY:
The circulation assistant is supervised by the head of circulation. Direction may also be given by management staff, including the assistant director or the librarian-in-charge. The library director is responsible for hiring and firing. Performance reviews are conducted by the head of circulation.
QUALIFICATIONS:
- High school diploma or equivalent with some additional training or relevant experience is required.
- The ability to work with a diverse public in a friendly, diplomatic manner is essential.
- Considerable experience in clerical work of a responsible nature is expected with accuracy and attention to detail is essential.
- Computer skills must include experience with Microsoft Office and experience with Microsoft Publisher and Excel is helpful.
- Focused attention to detail in a busy environment is essential, as is the ability to multi-task.
- Dexterity and good hand-eye coordination is necessary to perform the tasks associated with circulation activities.
- Previous clerical or library experience and knowledge of library organization is helpful.
